Port Agency Assistant – Crew Services

About the role

We are looking for a Port Agency Assistant to support crew change and related husbandry services for vessels calling at Ho Chi Minh City. The role acts as the Wilhelmsen Port Services (WPS) representative, ensuring smooth communication between ship crews, authorities and internal teams.

Key responsibilities

• Coordinate crew change, meet‑and‑greet, cash‑to‑master and medical assistance services.
• Serve as the primary WPS contact for vessel crews and proactively address their requirements.
• Collect and transmit vessel information to relevant parties and monitor regulatory compliance (terminal restrictions, line‑up, cargo handling, pre‑arrival notices).
• Liaise with port authorities, immigration, health, quarantine and customs to prepare and submit required documents.
• Attend vessel arrivals and departures, including after‑hours duty, and keep masters informed of berthing prospects and special requirements.
• Arrange pilots, linesmen and tug services for vessel movements.
• Update fleet operators, ship owners, charterers and other stakeholders on vessel progress.

Required profile

• College or university graduate with at least one year of experience as a boarding agent.
• Strong English reading and writing skills for maritime documentation.
• Ability to follow guidelines from authorities and internal parties.
• Attention to detail, methodical planning and ability to work under pressure.
• Team‑oriented with good relationship‑building skills.

Required skills

• Proficiency in Microsoft Word, Excel and Outlook.
• Experience submitting electronic documents through the National Single Window system.
• Basic knowledge of Vietnam’s port system and local access channels.
