Administrative Assistant – Programmes

About the role

Animals Asia is seeking an Administrative Assistant – Programme to provide essential administrative and coordination support across its programme areas in Vietnam and China. The role ensures that programme documentation, data, and stakeholder communications are well‑managed to facilitate effective delivery of wildlife protection and animal welfare initiatives.

Key responsibilities

• Organise and maintain programme documentation, ensuring accuracy and easy accessibility.
• Manage and improve online education and public awareness databases.
• Support programme teams with information management, record keeping and Google Drive filing system.
• Provide timely updates, reporting and administrative assistance to Programme Managers.
• Maintain contact records with education partners and support cross‑border coordination between Vietnam and China.
• Help manage a central calendar of programme activities, campaigns and events.
• Assist in preparing programme results in clear, user‑friendly formats.
• Provide English‑Vietnamese translation for meetings and written materials.
• Support finance‑related administration, including payments, fund transfers and cost‑code processes.
• Arrange travel and itineraries for senior programme staff.

Required profile

• Bachelor’s degree in Business Administration, Management, International Development, Education or a related field.
• 2–3 years of experience in administration, coordination or programme support.
• Strong organisational and time‑management abilities.

Required skills

• Proficiency with Google Drive for file management.
